The West Deployment Team (DT) at the eHealth Centre of Excellence supports the deployment of eConsult in South West and Waterloo Wellington, and eReferral across South West, Waterloo Wellington and Hamilton Niagara Haldimand Brant, partnering with Ontario Health West for change management support in Erie St. Clair.

eReferral Onboarding Update 

There is currently a pause on onboarding new eReferral senders and receivers while Ontario Health is undergoing a public procurement through a Request for Proposal for Vendor(s) of Record to provide eReferral Management Solution(s). 

 

If you are already set up with eReferral and need support or additional training, please reach out to your Change Management Specialist, or email eReferral@ehealthce.ca.

Ocean Update - Wait Time 

In March of 2024, an enhancement was made to the Wait Time functionality in Ocean eReferral. As well as being able to leverage Ocean’s ability to automatically calculate and display wait times based on the number of eligible eReferrals received over the past six months, receiving sites can now self-report additional wait time information.


Wait times are displayed in the Ocean Healthmap when a user is performing a search, and are also displayed in the Health Service Offering details in a receiving site’s Directory Listing.

If you would like to enter self-reported wait times for the services you provide, you can follow the instructions on Ocean’s website. If you would like assistance with this, please reach out to the Change Management Specialist who supports your site or email eReferral@ehealthce.ca

Ocean Update - Managing Multiple Clinic Locations 

When an Ocean eReferral is sent, the ‘Referrer’s Information’ section contains details about the referring clinician, including the address and contact information; however, clinicians often operate out of more than one physical location. 

 

Ocean now offers a way to store and use these various sets of clinic information from within one Ocean account. 'Clinic Locations’ can now be created, allowing for one user account to be used across multiple Ocean sites. 

 

If you would like to add more than one clinic location, here are the steps: 

1. Click on your name in the top right corner of your Ocean account, and then select ‘My Account’.

 

 

2. Select the ‘Edit Clinical Contact Information’ button at the top.


3. If not already done, enter your Clinician Information and then save your changes.


4. To add a clinic location, click the ‘Add Location’ button.  

5. Choose if you would like to manually enter a location, or if you have another location listed in the Ocean Healthmap. If the new site you added is the main site you send eReferrals from, click ‘Save & Make Site Default’; otherwise, click the ‘Save’ button.

6. The next time you send an eReferral, you will notice that you have a clinic location dropdown menu in the Referrer’s Information section. If you are sending a referral from a location that is not your default site, click the dropdown menu and select the applicable location.


TReC – Triaging eReferrals as eConsults in Ocean


Did you know TReC allows specialists to respond to eReferrals as eConsults where appropriate?

 

The Triaging eReferrals as eConsults (TReC) in Ocean initiative provides an opportunity to leverage existing eReferral workflows for scenarios where eConsult advice will meet patient needs.  Specialists can respond as an eConsult directly from the Messaging section of an Ocean eReferral. They can provide their advice, attach resources for the referring clinician, and bill for the eConsult - all from within Ocean. 

 

The sending clinician will receive an email notification that they have a response via eConsult to review. A link in this email will take them to the eConsult response in Ocean. From there, the sending clinician can proceed to refer their patient for an in-person visit, or accept the advice received.    

 

By allowing specialists to turn eReferrals into eConsults in Ocean, many benefits are realized:

  • Faster access to specialist advice
  • Avoidance of unnecessary in-person specialist visits
  • Improved clinician experience by using one platform
  • Improved care coordination
  • More flexibility to provide the patient with the most appropriate care for their needs
  • Prompt learning for primary care and specialists
  • Documentation of the case, rather than a traditional phone call for advice

Expanding eConsult Access to Midwives Across Ontario! 

In case you missed it in our Winter Edition, as of January 26, the Midwives Access to eConsult Advice (MACA) Project has enabled access for Midwives in Ontario to receive specialist advice for patient care utilizing the Ontario eConsult program on the OTNhub. The aim of this project, in alignment with best practice guidelines, is to improve accessibility and assess acceptability and feasibility, while evaluating the impact on each of the five domains of the quintuple aim for healthcare improvement.


This initiative is a partnership between the Ontario eConsult Service and the Association of Ontario Midwives.
