Meet Your New President - Gary Smotherman
How did you get into the dental laboratory industry?

I got into the industry 26 years ago when my father decided to open a dental lab. Dad needed a delivery driver and a model room technician and I’m still here in 2021.

What do you love about the dental industry?

I’m still here because I love working with doctors to help change everyday life for some patients. Creating a smile that has been missing for years is a wonderful skill that we as a part of the WSDLA all have. We need to not give up on it and hold on strong to our industry that is shrinking.

Past President's Message - Megan Nakanishi
It has been an honor representing the WSDLA as President for the past couple of years. Although none of us could have predicted the challenges that occurred in 2020, my spirits were continually lifted through my interactions with the many labs in Washington State who stayed in touch, kept in contact, and refused to let anything slow them down. I was constantly reminded how lucky we are to be in an industry that can weather such a storm, when others around us have not been so fortunate.

2021 WSDLA NW Lab Forum
Thank you so much for your support as WSDLA continues to navigate the challenges of the coronavirus pandemic. WSDLA has signed a new hotel contract to move the 2021 NW Dental Lab Forum conference to June 25-27, 2021. The Board of Directors made this difficult decision based on current WA state Covid-19 restrictions, limitations on number of attendees, travel restrictions, and to ensure the safety of all attendees.

Our hope is that by moving this conference to June, we will have higher attendance numbers than in past years, due in part to reduced Covid-19 concerns and better safety measures for all participants. Higher event attendance is anticipated in response to the new lab registration/CE requirement regulations effective this year. Passed in 2019, this regulation requires all dental laboratories doing business in WA to submit proof of continuing education (or CDT) to the Department of Health by July 31, 2021.

WSDLA will give out certificates of attendance onsite at the Forum to allow attendees to easily forward proof of their CE credits to the WA Department of Health.

Get to Know Your New Board Member: Autumn Ellingson, GM
How did you get into the dental laboratory industry?

I was an administrator in a private school and one of our parents, who owned a dental lab, asked if I would ever consider leaving the education field to manage his dental lab. My father-in-law taught at the University of Washington Dental School and had a private practice so I was familiar with the industry and weary of education. The hours and compensation worked for our family so 18 years ago I made the switch and haven't looked back.

Is Your Dental Lab Registered with DOH?
Have you received your WA State Department of Health Dental Laboratory Registration Certificate?

It is now the law that all dental labs that do business in the State of WA register with the Department of Health (DOH). Washington State DOH requested that all dental labs register by January 31, 2021.

If you have not registered your dental laboratory with DOH, please do so now!

Here’s what you need to know:

  1. Fill out the Dental Laboratory Registration three (3) page application and send in the $250 fee as soon as possible, if you missed the January 31, 2021 deadline. The complete packet is below along with a highlighted application to ensure you complete all the information required by DOH.
  2. If you send in the application AFTER January 31, 2021, you will also need to send in your 12 hours CE or your CDT certificate with the application.
  3. Mark your calendars for the 2021 NW Lab Forum 6/25/21-6/27/21 where you can get 12 hours of CE needed.
  4. Renew your WSDLA Membership if you haven’t already to stay informed about registration and compliance.
  5. Look for more information from the WSDLA on ways you can comply with the material disclosure and point of origin requirements!

Application packets must be mailed directly to the Department of Health
DOH needs the following in order to process your request:

Mail your application with initial documentation and your check or money order payable to:
Department of Health
PO Box 1099
Olympia, WA 98507-1099

Send other documents not sent with initial application to:

What You Need to Know about Dental Laboratory Registration
Starting in Fall 2020, all dental labs servicing dentists in the State of Washington must:

  • Register with the Department of Health (DOH)
  • Disclose to the dentist materials used in the device
  • Disclose to the dentist the city, state and country where the device was made

Effective January 31, 2021:

All dental labs servicing dentists in the State of Washington must be registered with DOH. If you have already registered with DOH, you should have received your Dental Laboratory license certificate:
The Registration number has to be on all forms of communication between the dentist and the Lab. For example; Rx forms, invoices, and statements.

The owner or an employee must complete 12-hours of NBC-approved continuing education annually

The owner or CDT must work a minimum of 30 hours a week, on site, in which the registration number is issued.

The Lab must disclose to the dentist materials used in the device and the city, state and country where the device was made.

By January 31, 2025: The owner or an employee must be a Certified Dental Technician in good standing with the National Board for Certification.

The following nonrefundable fees will be charged:
Application $250.00
Renewal $250.00
Late renewal penalty $125.00
Expired registration reissuance $125.00
Registration verification $25.00
Duplicate registration $15.00

The WA registration renewal period for dental laboratories will run from August 1st – July 31st with renewal materials due July 31st of each year moving forward.

DOH Frequently Asked Questions:

How early can I renew my dental laboratories registration?
You may renew your registration no earlier than 90 days prior to July 31st.

How much does it cost to renew my dental laboratory registration?
The renewal fee for dental laboratories is $250.

How long do I need to keep my application and renewal documentation?
Four years (WAC 246-12-200).

When does a dental laboratories registration need to be renewed?
Dental laboratory registrations must be renewed every year, no later than July 31.

Additional Clarifying Questions from WSDLA to DOH:

For those that registered with DOH by 1/31/2021, will they need to repay the registration fee on 7/31/2021 or just send proof of CE?
Both. They will need to pay the fee and submit their proof of CE’s. They are allowed to use the same CE’s that they used for the initial registration, when they renew in July. As long as they were taken within the 12 months prior to renewal.

For those that did NOT register with DOH by 1/31/2021, should they go ahead and register now and if so, would they send just the registration fee or both registration fee and proof of CE?  Then would they need to do this again on 7/31/2021?
Yes, they should apply for their registration right away per law and then renew in July.

Should dental labs to send both their registration fees and proof at CE at the same time moving forward so that it’s easier for the DOH to keep track of?
They can take the CE’s anytime that’s convenient for them. All we will be checking is that they are approved CE’s and that they were taken within 12 months from 07/31. They can renew up to 90 days early. The goal would be for them to send in the renewal paperwork at least 30 days early so that we have time to process the renewals. We don’t want their registrations going into expired status if they renew to close to the cutoff date.

Can labs register early with both renewal fees and CE?
Yes up to 90 days prior to July 31st

Looking for Easy Solutions to Meet the New Lab Registration Requirements?
Matt Chapman, CDT, of Chapman Dental Prosthetics, Inc. made specific changes to processes in his lab to abide by the new rules and regulations for WA State dental labs. During his presentation at the WSDLA Virtual Roundtable Retreat in October 2020, Matt discussed that some of the new lab registration requirements require a materials disclosure label on all devices to list what it is made of, where it is sourced, and also include the lab registration number from the WA DOH.

To help his lab meet the new requirements, Matt created a labeling system using a DYMO “off the shelf” label maker to create disclosure labels for his cases. Similar printers can be found here: https://www.dymo.com/en-US (as well as Amazon.com and other retailers).

Matt was kind enough to offer his DYMO label templates to be shared at no cost with current WSDLA members. These label files work in the DYMO label maker software and can be printed on the DYMO printer through the computer by selecting DYMO in Printer Preferences. Labs can also personalize further by selecting from optional barcode or QR features.

Please contact WSDLA if you would like to receive Matt's DYMO label template examples.

Thanks, Matt!
