Update for Leaders as SPS Employees Begin Entering Absences into Oracle March 1, 2024


Beginning March 1, 2024, SPS employees will begin entering all absences into Oracle ensuring real time accuracy of accruals. 

 

Items to Note

  • All absences should be entered in Oracle in a timely manner.
  • Absences are auto-approved in Oracle and line managers will receive a notification of the absence.
  • Line Managers will also have the ability to enter absences on behalf of their employees as well as view past/present/future absences and accrual balances.
  • Future absences that have already been entered in Frontline will be imported to Oracle.
  • For employees requiring a substitute, absences entered in Oracle will automatically feed into Slate, our substitute management system. Slate is replacing Frontline for substitute requests.
  • Employees who wish to request a specific substitute, leave lesson plans, or select no sub needed will log in to Slate to complete these tasks.
  • Substitutes needed after the school day has started can still be requested by contacting Penmac directly.
  • Slate will have the same reporting options as Frontline.
  • A mobile app is expected to be available in March.

Important Dates

  • March 1st: Last day for Frontline absence entries and substitute fulfillment at 9 a.m. (emergency needs called in to Penmac)
  • March 1st: First day for Oracle absence entries at 9:01 a.m.
  • March 4th: First day for substitute fulfillment for Slate.


What is Oracle?


In an effort to reduce the number of systems supporting human resources, finance, and purchasing services, the district is implementing Oracle Cloud Fusion to provide a range of services and applications for various business areas.


The financial module went LIVE in July 2023, which included purchasing, budgeting, and accounting. The human resources and payroll modules are going LIVE March 1, 2024.
