Update from Show Director Linda Waddell

Good Afternoon Exhibitors,

 

On behalf of the Toronto Boat Show team, we are ready to share the results of the process to determine the # of Show days for 2025.

 

As a reminder, in March a Post Show Survey was underway for Exhibitors. We received a very high response rate. Thank you to the 350+ exhibiting companies that participated. 90% of the boat and engine spaces responded.

 

Following the survey process was a meeting with the Show Committee to review results, debate and determine the best path forward. Then meetings with the Venue & City of Toronto. 

 

Our focus has been to determine if the Show should remain a 10-day format. Or, change to 9 or 5 days. We have taken the time needed to ensure we considered all factors, with the primary goal of continuing to deliver a strong event for your sales & lead generation. 

 

The 2025 Show will be a 9-day event, January 18 – 26. 

 

The historical opening on Friday will be dropped. The Show will now open on a Saturday. 

 

This reduction of one show day allows for the continuation of two weekends, and optimal time for exhibitors’ retail activity. It also reduces the risk of weather impact on overall sales, which in January affects the buyers’ ability to get to the venue.

We are sharing the full survey results with you, to help provide some of the information that was reviewed with the Show Committee and our internal process.

The following represents top-line results from the survey on preferences:

 

59% of the Show’s total square footage: 9 or 10 day Show

39% of the Show’s total square footage: 5 day Show

 

48% of the Show's exhibiting companies: 9 or 10 day Show

43% of the Show’s exhibiting companies: 5 day Show

  

Boat & Engine spaces separated out:

 

64% of the Boat space square footage: 9 or 10 day Show

35% of the Boat space square footage: 5 day Show

 

60% of the Boat & Engine exhibiting companies: 9 or 10 day Show

38% of the Boat & Engine exhibiting companies: 5 day Show

   

Some interesting statistics:

 

87% of Exhibitors would take the same size or more space than last year, if the show is 9 or 10 days (including exhibitors who were indicating a personal preference of a 5 day show)

 

62% of Exhibitors want or will support some type of VIP event held within the show dates, even if it’s not on opening day, possibly a weekday or evening event. The Show Team and Show Committee will be considering new options for this in the coming months.

   

It became clear during the process that the difference in space rates for Exhibitors would be negligible between the three scenarios. This is due to the variances in lease structures and move-in/out time needed by Exhibitors; plus the secondary expenses incurred by Exhibitors and the Show in all three options. 

 

We share in the objective to minimize expense increases. Therefore, holding the 2024 Regular Space Rates without an increase, will allow us to offer those rates as the 2025 Early Bird Rates. If the Show remained a 10 day format, this would not have been possible and there would have been an additional increase.

 

Note: the Early Bird deadline is August 1. This is a firm deadline for prior year and new exhibitors. If your 25% deposit and signed application is received by August 1, you will receive the Early Bird rate on the full amount of your space.

 

Thank you for your patience while we completed this important process. Especially to the Exhibitors that have been contacting us and submitting their space requests in the last couple of months. 

 

The Toronto International Boat Show is a significant event in the City of Toronto and has long-term dates at the Enercare Centre, Exhibition Place. The Show has contracted for the following dates over the next three years. TIBS continues to hold the long-term date pattern beyond 2027 in the venue after these contracted dates.

 

·      January 18 – 26, 2025

·      January 17 – 25, 2026

·      January 16 – 24, 2027

  

We are ready to get the renewal process underway!

 

All prior year Exhibitors will receive their renewal emails starting the week of June 10 from Katya Sundukova, Cynthia Hare or myself.

Early Bird Renewal Deadline is August 1, 2024

If you were a 2024 show exhibitor then you will start receiving your space renewal application for the 2025 show, the week of June 10th. Make sure to check your email inbox!


If you have not received your application by June 17th, please let us know.


Take advantage of the Early Bird Rate and SAVE!

 

The Early Bird Rate applies to the 2024 exhibitors, (as well as exhibitors who were not in the 2024 show and prospective new exhibitors). Any exhibitor who wants to receive the Early Bird rate for the 2025 show will be required to return their signed application and 25% deposit by August 1.


After August 1st, the 2025 Regular Rates will apply.


It is important for all 2024 exhibitors to let us know what your Space Request is for 2025 before the August 1 renewal deadline.


Note: only space requests with a signed application and a deposit will be considered during the planning and allocation process.  After August 1st, we will begin working on the layout.


We genuinely want to make sure everyone’s space requests are included, and we need to hear from you so that your needs are not left out of our planning.


We are already receiving application requests from past exhibitors and new requests for space. Therefore, it is imperative to know your plans.

Print Show Guide Exhibitor listings will include the following:

Please indicate your Show Guide Listing Name if different from the contracted company name on your application. If you do not indicate a change to your Company Name for the show guide listing on the space application, then the listing will be the same as the Company Name contracted. 


Expanded information about your company will be available in the Digital Listing on the Boat Show's website and more details to follow once the Unity platform becomes live and ready for updates. 

Liability Insurance for Exhibitors, Working Dealers and Exhibitor Appointed Contractors

Exhibitor spaces include $2 million commercial general liability coverage at the show (does not include property and product). It also includes the appropriate additional insureds added, provided by ExhibitorInsurance.com. 


The amount of $159 for the coverage is included in your space cost. 


Exhibitors that have their own insurance and provide their certificate that meets the show & venue’s requirements (including additional insureds) by January 6, 2025, will receive a refund from Canadian Boat Shows of $159 following the show. 


Your Policy must include the following additional insureds: Toronto International Boat Show, Canadian Boat Shows Inc., City of Toronto, The Board of Governors of Exhibition Place, Enercare Inc., Maple Leaf Sports & Entertainment Partnership, BPC Coliseum Inc., OVG Hospitality, Sypher & Associates Field Engineering Ltd., and their respective directors, officers and employees (collectively the “indemnifies”).


Policy effective: January 10- 29, 2025.

Please list any Exhibitor Appointed Contractors that will be assisting with your space set-up on the application, as they are required to provide a copy of their insurance certificate with full list of additional insureds included, covering move in/ move out and show dates. 


If you have any Working Dealers within your space that are not covered under your insurance policy, please also note these on your space application.


The Exhibitor Insurance online platform is now open for uploading your own certificates. Once your uploaded certificate is reviewed you will receive an approval notification from Exhibitor’s Insurance directly.

Live Marine Reports promoting the 2025 Toronto Show!

Once again, this summer, the Toronto Boat Show has partnered with Water on the Water to sponsor the Live Marine Reports on some of Ontario’s waterways, reaching 650,000 people each week! 

 

Live Reports start on the July long weekend by Jeff Sinclair, targeting boaters and cottagers to build excitement for the 2025 show.

2025 Show Newsletters

 

The Toronto Boat Show newsletters are the main source of communication. They come from this email address: chare@canadianboatshows.com so please add to your contacts and acceptable lists of emails. 


Some exhibitors report that they don’t receive the newsletter, or it lands in their junk folder. We suggest to please check your junk or clutter folders periodically.


If you have not been receiving our Newsletters, please let us know to add your email address to the distribution list. If anyone else from your company should be receiving the newsletters, please send us their email.


All exhibitor newsletters are located on the show's website, so you can also keep up to date on communications if your email filters don't consistently display them in your in-box.
