SHPE National Convention Exhibitor Update

Monthly exhibitor updates will be sent with important information to help you prepare for the National Convention.

What is Included in the Career Fair Booth

In addition to the items included in your exhibit sponsorship package the following will be included in your booth onsite. For an outline of the packages see pages 12-14 in the sponsorship guide.


Booths Outside the Pavilions

Each 10x10 booth will be set with 8’ high blue and white back drape, 3’ blue side drape, one 6' long by 30" tall blue skirted table, two chairs, and one wastebasket. In-line booths (300 sq. ft. or less) will receive an identification sign.


Carpet or flooring is required to cover the floor in your booth. You may bring your own or rent through Freeman.

At 4pm, Thursday 10/31, Freeman will add carpet to any booth space without floor coverings at the exhibitor’s expense.


Government, Non-Profit & University Pavilions

Each 10x10 booth within the pavilions will be set with 8’ high blue and white back drape, 3’ blue side drape, one 6' long by 30" tall blue skirted table, two chairs, and one wastebasket. In-line booths (300 sq. ft. or less) will receive an identification sign. The booths within the pavilions will be carpeted (midnight blue carpet).

Interview Booths Hall C


Various packages include an interview booth. To view the packages see pages 12-14 in the sponsorship guide.


Additional interview booths may be purchased, $800 each for IPC Companies and $1,000 each for Non-IPC Companies. To purchase additional interview booths, please submit a commitment form to exhibits@shpe.org


In order to request an endcap, you must have at least 10 interview booths. Endcaps will use 2 of your interview booths.


Interview booths are 8’ wide by 10’ deep and will be set with 8’ high blue and white drape on all 4 sides. Each will receive one 6' long by 30" tall blue skirted table, two chairs, one waste basket and an identification sign.


The interview hall will not be carpeted, and you are not required to have carpet or floor coverings in your interview booth.

Shipping: Advance to the Warehouse

If you want to ship advance to the Freeman Warehouse, your shipment can not arrive prior to 9/26/2024 and the deadline to receive shipments without an additional fee is October 22, 2024.

The benefit of shipping to the warehouse is that your freight should be at your booth when you arrive to set up on Wednesday 10/30/2024.

Shipping: Direct to Show Site

If you want to ship direct to show site, your shipment can not arrive prior to October 30, 2024.

Hanging Sign Label

Island booths 400 square feet or larger (open on all 4 sides) are allowed to hang a banner above their booth. Height limit is 20 feet from the floor to the top of the sign.

Freeman handles all rigging of signs under 200 lbs.

Material Handling

Freeman is the exclusive provider of material handling services. Material handling includes unloading your exhibit material from your carrier, storing up to 30 days in advance at the warehouse address, delivering to the booth, the handling of empty containers to and from storage, and removing of material from the booth for reloading onto outbound carriers.


Material handling charges will automatically be applied to your account upon receipt of each shipment.


For estimated material handling charges, please use the tool in Freeman Online.


POVs

Privately Owned Vehicles are defined as cars, pick-up trucks, vans, and other trucks primarily designed for passenger use, not cargo or freight.

Vehicles that do not qualify for this service, or that have material that requires mechanical assistance to unload, will be directed to the loading docks or Freeman Marshalling Yard.


Cartload Service

Workers equipped with a flat cart scooter will assist exhibitors with unloading. Each cart will handle a load approximately 3'wide x 4' long x 3' high. Freight must not exceed 300 lbs.


For safety reasons, it will be the judgment of the freight supervisor if the load can go higher than 3 feet.


Cart Service includes storage of empty cardboard/product boxes at no additional charge.

Audio Visual 

Freeman Audio Visual will rent audio, visual and computer equipment.

Business Center

The Anaheim Convention Center does not have a business center but FedEx has two at nearby hotels.

Food & Beverage

Aramark is the Exclusive food and beverage provider at the ACC. Deadline to order F&B is 10/1/2024

Internet & Telephone

Smart City is the Exclusive internet and telephone provider at the ACC. Deadline to order services at the incentive rate is 10/9/2024

Lead Capture

Cvent, the official registration vendor for SHPE will also have lead retrieval services available. We should have more information in August.

Lincoln Security Services has guards available to monitor your booth.

This year, SHPE has a new official housing partner Maritz to manage your housing requests. By using the SHPE housing site, Maritz will review your housing needs and fulfill based on availability.

Important Deadlines


September 3   

Last day to cancel or reduce block with no fee.


September 4  

 Beginning of $100 cancellation fee for rooms cancelled or block reduction.


September 18  

Last day to cancel or reduce block with the $100 cancellation fee.


September 19  

Beginning of $225 cancellation fee for rooms cancelled or block reduction.


September 27  

All blocked rooms must be booked by this date. We encourage you to book sooner. This is important if you are asking your team to provide their own credit card numbers for the required


October 3   Housing will close at 4:00 PM ET  

Please have all changes to hotel reservations processed prior to the October 3 deadline. No changes can be made after this date; rooming lists will be transferred to the hotels. Upon receipt of the rooming lists, the hotel may charge a one night + tax advance deposit to the card used for the individual Credit Card Guarantee.

SHPE is using Cvent again this year for the National Convention Attendee Hub mobile app, and registration. 


The exhibitor portal is where you will manage various aspects of your participation. 


Exhibitor profile - market your company in advance of the event. 

  • Add your company description
  • Add your logo 
  • Add a banner
  • Answer questions on what positions you have available and the majors you are targeting. 
  • Task list - manage the various tasks and deadlines for the event.


Who has access to the portal:

The primary contact for your company (as reflected on your commitment form) will have access to your exhibitor portal. Once they login they can add other Admins for your company.

Exhibitor Badge Registration

Deadline to register is Friday October 18th!

To register your team, log in to your company's exhibitor portal and select Team on the left hand menu, or select Add Team Member from your main menu.


Your company's admin may register team members or share a sign-up link allowing team members to self-register.
