Student organizations - register your club travel


Did you know risk management works with student organizations to authorize their travel? When planning trips, organizations should register through SOTA, the Student Organization Travel Authorization system. Mpox and international travel

On August 7th, 2024 the Centers for Disease Control and Prevention (CDC) issued a health alert update related to the Mpox outbreak in the Democratic Republic of Congo (DRC) and surrounding countries. While the risk in the United States remains low, it is important to stay informed and take necessary precautions to protect yourselves and others when traveling. Mpox is a viral disease that can spread through close contact with an infected person or contaminated materials.


Travel safety tips 



  • Practice good hygiene. Regularly wash your hands with soap and water or use an alcohol-based hand sanitizer.


  • Avoid close contact. Limit close physical contact with individuals who are sick or have symptoms of Mpox.


  • Disinfect surfaces. Clean and disinfect frequently touched surfaces in your travel accommodation spaces.


  • Monitor your health. Be aware of Mpox symptoms, which can include fever, headache, muscle aches, and a painful rash that can look like pimples or blisters.


Vaccine information


Vaccination is a key measure in preventing the spread of Mpox. The CDC recommends that travelers visiting areas where Mpox cases are confirmed should consider getting vaccinated. Iowa State students interested in the Mpox vaccine may contact the Thielen Student Health Center at 515-294-5801. Faculty and staff may contact the Polk County Health Department at 515-323-5221.


Travel registration


All university-sponsored international travel should be registered in the International Travel Registry prior to travel. This registration is critical to access resources like global assistance and insurance, itinerary-based security alerts, and destination risk intelligence. Some types of travel such as high-risk travel and travel subject to export control may require additional review or approval. Admissions crisis management training


Office of Admissions staff recently joined international risk manager Shaun M. Jamieson and Iowa State's global assistance and insurance provider, On Call International, for crisis management training. The group talked through potential scenarios that might impact the office's international travelers and how to respond.


"With the extensive travel of our recruitment team, this exercise was timely and incredibly useful in preparing for any scenario that may arise," said Katharine Johnson Suski, assistant vice president and executive director of admissions. "I feel better informed to make decisions about where my team should and shouldn't travel, and we are all more confident to handle situations we may encounter."

Youth program feedback


The youth and volunteer programs team is in the beginning stages of establishing a policy development team and a stakeholders group to review the Youth Activities, Pre-Collegiate Programs and Camps policy (https://www.policy.iastate.edu/policy/youthprograms). The policy was last revised in 2013. In the coming months, they will reach out to various youth program leaders and other invested members of the community for feedback. Please share your thoughts and suggestions for improvement.

Congratulations, summer youth programs


Thousands of youth are served by hundreds of Iowa State youth programs each year. It's a huge undertaking, with program staff and volunteers working under the direction of program leaders to ensure the safety and well-being of their youth participants. Part of that effort entails working with risk management staff and the Cy Check system to make sure registration approvals, background checks, and trainings are completed timely and appropriate staff-to-student ratios are met. We would like to recognize the following summer youth programs for achieving 100% compliance in meeting youth protection requirements for sponsored/endorsed youth programs in May through August 2024.
