Club Contacts and Coaches Newsletter

Hello Scott,

Each newsletter, I'm bringing a specific registration related tip at the end of the newsletter. Last newsletter brought an pleasant reminder to manage your club offerings to help your parents make good registration choices.

Applications for Midwest All Stars are now open

Applications are now open to become a member of this year's Team MO-VAL All Stars Team. This is a great opportunity to race against other fast age group swimmers and bond with swimmers from around Missouri Valley. The deadline to apply for consideration is Sunday, December 10.

We are also looking for one more coach to serve on our staff. Transportation, lodging, and meals are included for staff. Coaches also receive a small stipend, and we welcome coaches of all experience levels to be a part of our staff.

Non-Athlete Member in Good Standing Report

We have uploaded a report that shows all registered non-athletes that are showing as "Not In Good Standing". The report is sorted by club so you can check to see if any of your members have issues that need to be addressed. Blank spaces in corresponding columns will tell you that we do not have a certification on file for the member. Please remember that members can upload their certifications directly through the MV site.

Please remember that the USA Swimming insurance carrier has access to see all member data, so having invalid members carries a serious insurance risk. If you have members that are no longer associated to your club, you can transfer them to Unattached by clicking the pencil/paper icon next to their name in your Non-Athlete Roster pill, select the Club Transfer pill, click the down arrow and Initiate Transfer. You can then type MV/UN and select Unattached.

Background Check Issues in Kansas

Last month, the state of Kansas experienced a cyberattack affecting all county court systems in the state (with the exception of Johnson). Due to this attack, background checks have essentially come to a halt in the state. If you or members of your team waiting on a renewal to come back, USA Swimming will extend a member until the end of year. This can only be done with members having cleared a background check with USA Swimming already. New members will need to wait until the system come back online. An email to backgroundcheck@usaswimming.org with your name and member ID will get this done.

New Officials

Members of our Officials Committee have been engaged in an active campaign to recruit more officials to help with swim meets. We have had several clubs initiating new officials training clinics as well. For all new officials in registration year 2024 associated with a full year club, Missouri Valley will provide a new Speedo Officials polo and a name badge once. Once an official has completed all their training, their six shadow sessions, and been recommended for advancement, they can reach out to Joe Farthing in order to make arrangements. Coaches, please consider reaching out to some of your parents and ask if they would be willing to volunteer.

High School Swims

A Form C for Kansas high school swimmers is now posted for your submission. Please submit those to Greg as soon as you can. Remember to select their high school from the dropdown menu and save as an Excel file.

Additionally, all athletes need to be registered members of USA Swimming at the time of their high school competition in order for those times to count. Please communicate this with your athletes, as Kansas Boys and Missouri Girls seasons straddle the calendar year. Many will wait to register once they return from high school season, but they should not wait this year.

Athlete Protection Training and your athletes

As a club admin, you can easily discover the athletes on your team that may encounter Athlete Protection Training issues in the near future. From your USA Swimming dashboard, navigate to Club > My Club, then select the Team Management tab and Athlete Roster pill. Toggling the Good Standing Expiration Date column twice will sort your athletes to show the athletes expired or expiring soon. Any athletes showing an expiration date of 01/01/001 means that your athlete is invalid and most likely has an APT issue. You can do the same with your non-athletes as well.
