Celebrating Over 30 Years of Professional Meeting & Association Management
May 2022 news & updates
The other day, just for the fun of it, I did a google search for “How to plan a meeting or conference."

Many of the how-to's break it down into steps:

This of course is just a very small list from my search. Bottom line is…

Hire Meeting Coordinators, Inc.!

Most of the articles give some good pointers, but none of them cover all that you need to know, nor do they give you the “exceptions to the rules.” I have run thousands of meetings, conferences and events and I can honestly say that none of them were cookie-cutter of another. There may be similarities but never exact. The reason is because people are different…we are not clones of one another and neither are the meetings or events.

Do you want the secret to a successful meeting, conference or event? In addition to all the checklists and budgets you draft you need to draft a list on how that event is unique. That list needs to include the positive and the negative. Honestly, the negative is what needs the greatest attention. For example, I had a CEO that had to have two bathrooms in his suite. It was crucial that he and his wife get ready for the event with their own bathroom. (Actually, a very reasonable request if you think about it.) The first time I booked his conference, I booked a beautiful suite, but the room only had one bathroom. I heard about that inconvenience a hundred times. “The conference was great BUT I had an awful suite.” What deal breakers do you have at your event?

If I ever get to the point of retiring...I think I should write a book on “Mistakes in Meeting Planning That Were Never Made – or At Least Not Twice.”

Did you know that on the Meeting Coordinators, Inc. webpage we have a resource guide? Check it out.

Be well and be safe.
