IT Project Intake Redesign

Pilot process implemented for requests

giphy image

The Aspirus Information Technology (IT) team is beginning work on a Project Intake Redesign to enhance its ability to manage the demand for IT project services and better align approved requests with available resources. A new pilot process is now in effect through at least Jan. 13, 2023, that limits the demand requests IT will process.

Break/Fix requests – incidents or issues that prevent you from being able to do your job or applications not working as they should – will continue to be received and processed as they are now.

Demand/Project requests that will be processed during the redesign period, will be limited to those that fall within the following categories:

  • Regulatory (identify regulatory or accreditation body requiring change, such as CMS, TJC, NCQA)
  • Compliance (required change to prevent violations)
  • Patient Safety (proposed change coming from RCA event or SafetyZone report)
  • Epic Refuel FY23
  • Project Pinnacle
  • Other (need SVP approval)

All requests for which discovery is complete and/or are ready for governance review, will be advanced. All other requests will be canceled. All information will be retained in the system should it be deemed necessary to re-enter prior requests following the intake redesign period.

Continue to use our IT Self Service portal to request any IT service and support. The necessary changes will be incorporated on the site to support the pilot process for end users, while IT will manage the review, prioritization and approval workflows. Managers should continue to use the current ITPMO Support Tool in the Management role of the intranet to submit new project requests.

New Vehicle Rental Program

Aspirus Health has partnered with Enterprise on a new vehicle rental program for business trips not requiring air travel. Vehicles are available to rent for Aspirus employees from Enterprise locations in our service area as a cost-effective, convenient alternative to using your own vehicle within certain mileage perimeters.

Vehicle rentals must be made using this dedicated reservation link, otherwise the billing and negotiated rates will not apply. Rental vehicles will not be kept on-site at Aspirus locations and Enterprise may not have a location in all our markets.

Based on rates negotiated with Enterprise, employees should reserve a midsize vehicle when trips meet the following mileage minimum designations:

  • One-day trip: More than 120 miles
  • Two-day trip: More than 240 miles
  • Three-day trip: More than 360 miles
  • Four-day trip: More than 480 miles

Please refer to the updated Corporate Travel page accessible under the “Life & Career” menu on the intranet for additional program details, including pick-up and drop-off options, FAQs and a mileage reimbursement calculator.

Quarterly Wellness Challenge: Digital Overload

This four-week challenge encourages participants to spend an hour a day without screen time and improve mental health and well-being. Taking time for a technology break will ease anxiety, increase happiness, reduce multitasking, reduce technology cravings, and allow you time to connect with the people in your life.

Register on the wellness portal under Digital Overload registration in the Quarterly Wellness Challenges section.

  • Registration: Open until Nov. 12
  • Challenge: Nov. 6 - Dec. 3
  • To successfully complete this challenge, you will use the wellness portal’s Digital Detox tracker to track a minimum of 60 minutes spent away from electronics each day.

Challenge is open to all employees, spouses and domestic partners. Employees who successfully complete the challenge will earn 750 Rewards & Recognition points. This Quarter 4 Wellness Challenge will not count as an activity for the 2022 Aspirus Wellness Program. To be eligible for the annual wellness grand prize or 7,000 Rewards & Recognition points, employees must complete all four quarterly challenges.

National Gratitude Month

National Gratitude Month in November encourages us to embrace the power of gratitude and giving back.

Everything in our lives can improve when we are grateful. Research shows gratitude can enhance our moods, decrease stress and drastically improve our overall level of health and well-being. On average, grateful people tend to:

  • Have fewer stress-related illnesses
  • Experience less depression
  • Have lower blood pressure
  • Be more physically fit
  • Be happier
  • Have a higher income
  • Experience more satisfying personal and professional relationships
  • Be better liked

Grateful kids are even more likely to get A’s in school.

Ways to celebrate National Gratitude Month

  • Start a gratitude journal. Write about someone or something you’re thankful for every day. You’ll find your appreciation for those around you grows deeper and fonder the longer you keep it. When you read back on what you’ve written, you’ll be able to reflect on the relationships and their accomplishments.

  • Share your gratitude with others. Letting someone know you’re grateful for their care, service or friendship often lifts their spirits or lifts a burden. Start a meeting by asking your team what they’re especially grateful for! Visit the Aspirus Rewards & Recognition site to share some gratitude to co-workers (click “Recognition” under the “Programs” header).

  • Show your appreciation by giving back to your community, neighborhood or favorite organization. You can do this as an individual or as a team!

Gratitude is more than simply saying “thank you.” Gratitude’s amazing powers can shift us from focusing on the negative to appreciating what is positive in our lives. Practicing daily gratitude gives us a deeper connection to ourselves and the world around us.
