Infor FSM Planning & Mitigation Timeline

We are only four weeks away from going live with the conversion of our finance, payroll, and supply chain systems. As previously communicated, we are moving away from Lawson to the more modern Infor CloudSuite Financial and Supply Management (FSM) system.

 

Impacts will occur as soon as mid-October when various processes and systems will have disruptions or downtimes as the core team prepares for go-live on November 1.

Important: Please refer to the “Downtime Dates” page within the Infor CloudSuite FSM & Payroll Implementation section on the intranet for ongoing updates. Additional details related to the system downtimes and process freezes outlined below will continue to be posted in this section as information becomes available.

Downtimes & Freezes

Please review the timing of downtimes or freezes for each of the impacted systems or processes:

During the Lawson and Infor Cloudsuite FSM and GHR downtime, there will be no access to any functionality or to any transaction processing within GHR, Finance or the Supply Chain production system. As the new system goes live, your first experience may vary depending on your department/role.

 

Be sure to check the intranet for various downtime-related considerations that you should be aware of, including important alternative timekeeping processes during the Kronos downtime. 

Kronos Mobile App

During the Oct. 30-Nov. 2 Kronos downtime, there will be two options to capture time accurately:


  • Via timeclock punches (which store the data and will be synced with Kronos when it’s back online).
  • Via the mobile app (UKG Workforce Central).

Get the app now: If the Kronos mobile app is your preferred method of capturing time during the downtime, download and sign into the app now so you’re ready in advance.

COVID Vaccine Supply Slow to Arrive


Our employee vaccination clinics are well underway with several remaining across the system. Influenza vaccinations are available at all vaccination clinics, but our supply of the updated COVID-19 vaccine has been slow to arrive. Watch for future updates about the availability of COVID-19 vaccine at our employee clinics.


In the meantime, don’t delay getting your influenza vaccine at any of our remaining clinics. The participation deadline for our Influenza and COVID-19 Safety Programs is October 31. Details and declination forms are available on the intranet.

Employee Pulse Survey

We are conducting a pulse survey now through October 16 with the help of our survey vendor NRC Health. Please participate to tell us how we're doing and how we can best meet your needs.

 

Check your Aspirus email for a message sent from NRC Health on Monday, October 2, with the subject line Action Requested! Aspirus Employee Pulse Survey.

Don’t worry about the blue external sender banner. This email is legitimate and safe.

Please click the link within the email to complete the survey. Do not forward your survey email to anyone else. Each email contains a unique survey link.

 

The survey will only take a few minutes to complete, and your responses are confidential.

Benefits Open Enrollment

Action required between November 6-19


This year’s annual Open Enrollment period will be November 6-19.

 

It is once again an active enrollment. This means you must take action to enroll in benefits for 2024. (Employees in an Occasional or Supplemental status who become eligible for health insurance under the Affordable Care Act provisions will receive a separate communication.)

 

To participate in the Aspirus benefit plans for 2024, all benefit-eligible employees will need to make your benefit elections in Global Human Resources (GHR) during the Open Enrollment period (November 6-19). Benefits elected will take effect January 1, 2024.

 

Employees who do not complete benefit enrollment between November 6-19 will not have benefit coverage in 2024.

 

Be sure to watch for upcoming communications on how to access the 2024 benefits materials as well as for future articles spotlighting some of the great benefits available to Aspirus employees!

Wear Plaid on Friday, October 6

Happy Plaidurday

All Aspirus team members are encouraged to wear plaid this Friday, October 6, in recognition of Plaidurday, the worldwide celebration of plaid.

 

* Important: Please adhere to our dress code and make sure your plaid is appropriate for your department and role. This is NOT a casual day unless otherwise noted at the business unit where you are physically located. Look for local communications.

Mental Health First Aid: Oct. 10 & 12 (Virtual)

Limited, no-cost-to-you spots available

Offered via Zoom on October 10 & 12 from 4:45-7:45 p.m. (Training includes two hours of online pre-work to be completed prior to October 10.) Participants must attend both sessions. 


The Aspirus Community Health Improvement Department will cover the cost for the first 20 participants. Register for the course by emailing Kari Due.

Free QPR Training for Suicide Prevention

Question, Persuade, Refer: Ask a question…Save a life

Anyone can learn how to recognize the warning signs of a suicide crisis and how to question, persuade, and refer someone to help.

Festival of Trees Items Wanted

For the Aspirus Health Foundation

Supporting patients and families throughout our system through Aspirus Comfort Care & Hospice Services and the Aspirus Family House


Departments, individuals and families are invited to create themed baskets, packages and/or decorated trees to be auctioned or raffled off at the Festival of Trees held Thanksgiving week.

 

Coordinate a donation with your co-workers or submit as an individual. Be creative! Create a basket/item for the winter or holidays, favorites from your town, sports, hunting, fishing or more.

Rover Downtime Scheduled for Oct. 11

All iPhones used for Epic Rover within Aspirus facilities will undergo maintenance.


  • Rover downtime: October 11 from 1-2 a.m. (CST).

 

During this time iPhone Rover devices used by staff should be docked in their home docking stations.

 

No iPhone Rovers should be used during the maintenance period. If an iPhone Rover is not placed in the docking station during this timeframe, it could miss critical updates impacting use of the device, so please make sure they are docked during this time.

Cybersecurity Awareness Month


October is Cybersecurity Awareness Month, a collaborative effort between the government and private industry to help all Americans stay safer and more secure online.

The month has grown in reach and participation thanks to the combined efforts of the National Cybersecurity Alliance and U.S. Department of Homeland Security (DHS).

 

Now it serves as a grassroots campaign across a multitude of industries to engage customers, employees and the general public.

 

What is cybersecurity?

Cybersecurity is the practice of protecting critical systems and sensitive information from digital attacks.

 

Also known as information technology (IT) security, cybersecurity measures are designed to combat threats against networked systems and applications, whether those threats originate from inside or outside an organization.

Cybercriminals target customers’ personally identifiable information (PII):

  • Names
  • Addresses
  • Social Security numbers
  • Credit card information

 

They then sell these records in underground digital marketplaces.

 

Compromised PII often leads to:

  • A loss of customer trust
  • The imposition of regulatory fines
  • Even legal action
