Final Hours Before Infor FSM Go-Live

We are hours away from the November 1 go-live of our Infor CloudSuite Financial and Supply Management (FSM) Payroll and CDM implementation. The planned downtime for Lawson and Infor GHR started on Oct. 27 and we remain in the downtimes and freezes period.

 

Here are some important updates and reminders:


 

  • Supplies – Supply requests are frozen through today, October 31, and you can use the downtime orders process through today. Refer to the updated supply order manual for background on the new process. Supply requestors will receive an email from Julie Trudeau, System Manager - Procurement, on Nov. 1 indicating when supplies can be ordered in the new system.

 

  • Steps for coding and approving invoices – Invoice submissions are frozen until tomorrow, Nov. 1. Before the new system becomes available, please review the self-help training guide on how to code and approve invoices. This resource will also be accessible via the Infor “in-app help” button.  

 

  • Learning Library – A new role-specific learning dashboard is now live and additional resources are available on the Training page within the Infor FSM intranet section.

 

  • Report Crosswalk – A new crosswalk is available to help you understand the associated report changes resulting from the transition to Infor CloudSuite. It is available on the Training page within the Infor FSM intranet section.

 

  • Take Charge of Your Learning JourneyThis checklist can help you with the transition and take ownership your learning process.

 

  • Support – Refer to the support page within the Infor FSM CloudSuite section of the intranet for details on how to receive support, as needed, during go-live.

Upcoming Intranet Changes

As of November 1, the existing GHR and Lawson S3 application pages on the intranet will be consolidated and renamed to align with this Infor FSM implementation. The new page will be called Infor CloudSuite Application. Links will be updated accordingly on the site to merge access to Infor Finance & Supply Chain Management (FSM), Infor Talent Acquisition and Infor Transition Management (TA & TM), and Infor Global Human Resources (GHR).

Epic

Epic CDM/Chargemaster Reminders

Charging codes are changing. Epic users are encouraged to:

  • Complete the assigned HealthStream Epic - Infor CDM Overview, for Epic hospital users; or complete the CDM/Chargemaster overview session (for fiscal or revenue cycle finance teams).
  • If you have already completed the above modules, refer to the Epic-related changes page within the Infor FSM intranet section for a refresher.
  • Review the CDM crosswalk for your respective areas' charges; there is an Excel version and a PDF version on the Epic-related changes intranet page.
  • Confirm charge reconciliation is being completed in your department prior to and throughout the go-live in order to identify any issues.

Post photos of you and your co-workers dressed in your work-appropriate Halloween-themed attire and costumes. Look for the banner on the intranet homepage.

Learn about 2024 Aspirus Benefits

At virtual & on-site offerings


Open Enrollment runs November 6-19 and is the time for you to enroll in benefits for 2024. 

 

Your action is required! Employees must complete benefit elections during Open Enrollment to select benefits for 2024. All coverage ends December 31, 2023, and employees who do not re-enroll will have no coverage for 2024.

Aspirus Health Plan Overview

Aspirus continually evaluates the market and our benefit plans to ensure we’re offering competitive and contemporary options, and we’ve structured our health plan based on industry best practices.

 

Changes to the Health Plan design were made for 2024 to control premium increases. Although there are slight increases to deductibles and out-of-pocket maximums, it is important to note that the Aspirus Plan deductibles, maximum out-of-pocket, and copays for primary and specialty care are lower than similarly designed PPO plans.

You must receive your influenza vaccination or submit your declination form by 5 p.m. today (Oct. 31).


Non-compliant employees will be removed from their work schedule until complete and may be subject to disciplinary action, up to, and including voluntary resignation.

  • December 1, 2023 – You must receive your COVID-19 vaccination or submit your declination form by 5 p.m. on this date.

New Questions in SafetyZone

Tracking High Reliability behaviors with tools & processes

SafetyZone

Beginning November 3, you may see two new questions in SafetyZone when submitting an event. These questions are aimed at promoting a culture of High Reliability across Aspirus.

 

  • If the event is a GOOD CATCH, you will be asked to identify which High Reliability tools/processes were used in preventing the event from reaching the patient.

 

  • If the event is an INCIDENT, you will be asked to identify which tool/process could have prevented the event from reaching the patient.

 

You can select from the following options when entering these events:

  • ARCC (Ask a question, Request a change, Voice a Concern, Use Chain of Command) (tool)
  • STAR (Stop, Think, Act, Review) (tool)
  • SBAR (Situation, Background, Assessment, Recommendation) (tool)
  • Timeout (tool)
  • Bar Code Scanning (tool)
  • 5 Rights to Medication Administration (Right patient, Right drug, Right time, Right dose, Right route) (process)
  • 2 Patient Identifiers – confirm with patient (tool)
  • Ticket to Ride (process)
  • Handoff Communication (process)

 

Answering these questions will be optional, but you are encouraged to do so if possible. These questions are intended to help remind all employees of the High Reliability tools and processes.

Aspirus Medford Earns Pathway to Excellence® Designation

Aspirus Medford Hospital & Clinics recently joined a premier group of healthcare organizations that have received Pathway to Excellence® designation from the American Nurses Credentialing Center (ANCC). According to the ANCC, Aspirus Medford is currently the only organization in Wisconsin to hold active Pathway Designation.

Volunteers Wanted for Festival of Trees

Volunteers are needed at the 26th annual Festival of Trees, November 15-26


Get in the holiday spirit by helping!


There are volunteer opportunities for all phases of the event (before, during and after), including setup, the event itself and breakdown. 

 

Funds raised will support Aspirus Comfort Care & Hospice Services and Aspirus Family House.

 

Volunteer with friends, family or on your own. This is a great opportunity for teens to earn service hours.

 

You do not need to be a registered volunteer of Aspirus to help.

Annual NICU Halloween Costumes Bring Smiles to Families

What's cuter than a baby in a homemade Halloween costume? Aspirus Registered Neonatal Nurse Heather Hetzel shares the origin story of the "baby burritos" and "little old grannies" that leave people smiling every year.

How Much Do You Know about Our Compliance Program?

Corporate Compliance and Ethics Week is next week, November 5-11. It presents us with an opportunity to showcase the important work our Aspirus Compliance team does and raise awareness about the core elements of a successful compliance program and the behaviors we should all model to protect our patients, our organization and each other.

 

Throughout November, we’ll share some helpful tips from the Compliance team for avoiding common pitfalls related to compliance and ethics in health care. The Aspirus Employee Health & Wellness team is offering all team members a chance to share your success stories as they pertain to your well-being and the well-being of those around you. This is a great opportunity to recognize a Wellness Champ! The award is not limited to physical health. As we have all continued to learn, all dimensions of health are incredibly important to maintaining our well-being.

To recognize your exceptional well-being efforts, we want to hear your story, or the story of someone who inspires you. Your stories will be shared throughout our Aspirus community, and possibly to the communities we serve.

 

Please take a few minutes and fill out the Well-Being Warrior nomination form on the intranet. Look for the homepage banner or promo within the Wellness section of the intranet. Submissions will be accepted through November 27 and will be reviewed by the Well-Being Committee. Winners will be selected and contacted in December.

Loss of Medicaid/State Benefits

Adding Aspirus Benefit Coverage

 

The Medicaid renewal period is now underway and will continue through May 2024. State agencies are sending letters outlining the actions that must be taken to renew eligibility and avoid a loss in Medicaid coverage. 

 

If you carry health, dental and/or vision insurance (for yourself and/or your dependents) through a Medicaid State program, such as BadgerCare Plus or the Healthy Michigan Plan, you may need to go through the renewal process. This is to determine if you are still eligible to participate in the program.

No longer eligible for coverage?

Any employee (and/or dependents) determined ineligible to participate in their state Medicaid program can request to enroll in Aspirus coverage via the “Life Event” module in GHR.
