MANAGER, ADVANCEMENT SERVICES
Reporting to the Director, College Advancement, the incumbent uses analytics, prospect identification and qualification, and research to assess and help develop a robust donor pipeline that will serve the Annual Giving, Planned Giving, and Major Gifts programs through multi- year campaign initiatives. This position will require a seasoned, entrepreneurial advancement professional who wishes to play a key role in building a sophisticated and sustainable philanthropic model for an emerging Advancement operation. The incumbent will be adept in establishing and overseeing best-in-class advancement systems and processes and works collaboratively with colleagues across Loyalist to create and sustain data systems, services, and practices that will optimize the Advancement department's fundraising, alumni engagement and donor stewardship initiatives. In addition, the Manager oversees the work of the Donor Relations Officer and the timelines of gift processing, acknowledgements, and financial report production, along with working closely with partners in Finance to reconcile and track spending of donor funds – including but not limited to student awards, capital, and operating gifts to enable accurate and timely donor reporting. The Incumbent is responsible for effective measurement results and the accuracy, cleanliness, efficiency and integrity of the Advancement database (RE NXT) and fund management through Financial Edge (FE NXT). Further, the incumbent will enhance data collection and use through third-party applications and subscriptions, such as Live Alumni, data overlays, phone and email appends and NCOA and Deceased registries.
RESPONSIBILITIES:
Fundraising
- Manages the pipeline of major donors by coordinating research on major gift and planned giving prospects, ensuring that all related documentation and activity is coded in the database; tracking local, national and international news relating to prospects and constituencies; and following economic and philanthropic trends that may shape solicitation strategies and priorities.
- Researches and identifies potential philanthropic foundations whose aims mirror the fundraising priorities of Advancement and identifies appropriate matches and calendarizes proposal due dates.
- Provides financial guidance on all Major Gift asks to identify how best to structure gift.
- The research and analysis provided by the incumbent supports the development cycle by identifying financial capacity, assets, philanthropic interests, influencing relationships, and preferred communication strategies.
- Continually assesses the landscape of current and future Loyalist donors, helping the Advancement team optimize overall support through strategic fundraising and engagement tactics.
- Based on experience and knowledge, assist in the calculation of appropriate ask amounts, along with sponsorship valuations for fundraising events.
- Develops and manages internal rating system to help inform on fundraising strategies including segmentation, ask amount, and participatory involvement for prospects.
- Oversees the work of the Donor Relations Officer in executing annual renewals for student awards, scholarships and bursaries.
Advancement Systems
- Ensures integrity and accuracy of Advancement database Raiser’s Edge NXT and Financial Edge NXT, at all times.
- Integrates third party data from SIS and third party sources including prospect research databases, alumni employment data providers, other College CRMs and purchased data overlays or appends.

Oversees and assures compliance of Loyalist College online giving portals.
- Understands privacy legislation as it relates to Advancement data and ensures the Advancement team has a strong data governance lens to protect constituent privacy.
Gift Administration
- Provides leadership and direction to the Donor Relations Officer for processing of all donor gift types. Oversees the process of fund reconciliation, development and execution of specialized reports and metrics, work processes and workflow and training of employees related work processes and procedures. The incumbent is knowledgeable about the operations of fund administration, and able to identify trends and patterns, process and protocol, and other elements of asset management required.
- Creates, manages, and reconciles new and existing funds in collaboration with Finance. Manages new fund setup workflow, including preparing paperwork to initiate process and follow up. Manages pending funds and ensures fund designation aligns with donor intent. Ensures all gifts and pledges are designated to the fund the donor specifies in a timely manner.
- Responsible for maintaining gift and pledge data in Raiser’s Edge NXT and Financial Edge NXT, the College’s central donor database. Works with the Finance office to ensure that all gifts are properly recorded to the general ledger and tracks spending for donor reporting.
QUALIFICATIONS:
- Completion of post-secondary education in computer science, accounting, fundraising, data analytics or library science.

Certified Fund Raising Executive (CFRE)

Member or Past Member of the Association of advancement Services Professionals (AASP) or Association of Professional Researchers in Advancement (APRA)
- Comprehensive knowledge of the Association of Fundraising Professionals Code of Ethics
- Blackbaud Certified Professional designation in Raiser’s Edge NXT and Financial Edge NXT, or participation at BBCON
- Minimum of seven (7) years of progressive experience which includes the following areas: incumbent must have experience as a Manager in Gift Administration, Data Management or Prospect Research (or all of the above as an Advancement Services Manager) within post-secondary, public sector and/or non-profit environment in a large and complex organization.
- Expert-level knowledge of Blackbaud’s Raiser’s Edge NXT and Financial Edge NXT
- Comprehensive knowledge of the regulations governing fundraising from Canada Revenue Agency, privacy legislation (FIPPA) and electronic communications (CASL)
- Extensive fundraising support experience working with major, annual and planned giving programs, front-line fundraisers, senior leaders and Campaign Cabinet volunteers.
- Overall experience in donor fund management and endowments, project management, strategic data analysis and the ability and experience to accurately project results and inform fundraising strategy.
- Expert-level experience with constituent relationship management database systems is required. Expertise in designing efficient and effective use of the CRM to advance alumni relations initiatives.
