Information to Run Your Program

When creating a payment plan, a list of payment dates and amounts is generated. You can confirm or cancel that list, but what if the student wants to see that list before making the commitment? Previously, you had to create the plan and then run a report. Which meant you have to void each and every one if the student didn't like that, creating more work for you.
With the release of 8.0.103 earlier this month, there is a report you can run directly from the payment plan listing screen. It does include a header of your business information and then the name of the student. Check out the image below for what a report looks like.

It's always encouraging to hear our customers mention they are hiring new staff for their CE team! That is fantastic! Don't you wish you could download all the information on your programs, your operating procedures, your Student Manager/ACEweb processes right into their heads? Getting a new team member oriented takes planning, time, and effort. But the ROI is certainly worth it.
We can't help with all the training they will need but we CAN help with their software orientation! The Student Manager Bootcamp Series should be a part of your onboarding process. This series provides eight hours of training in four, two-hour segments. Here's what we recommend:
Schedule Student Manager orientation time - about 2.5 hours per session, don't overwhelm them!

Download a copy of the Student Manager demo to their machine (so they can safely practice what they learn).
- Allow them them view the video, pausing and practicing at their pace.
- Repeat until all four sessions are completed.
Your new team member has a great start to the basics of Student Manager. You can then share your program's internal operating procedures as related to Student Manager.
Together, we'll get them off to a great start. Please let us know when you have new staff and administration on your CE team--we like to send them a warm ACEware welcome!

Tech Tip of the Month: Graphical Group Listing

You can have ACEweb display images of your course groups, instead of just a text hyperlink! This feature works with either grouping level one or two (major groups only or major and minor groups).
To enable this feature, add your image filename to the grouping code properties page within Student Manager (Module > Codes > Course: Grouping Codes, see below image).
- You can use .png, .gif, and .jpg type images.
- Image names cannot be longer than 12 characters.

All images should be the same size (e.g. size of images we use on our ACEweb Demo is 120px by 85px).

Enter the image name only in the File Name for Image field on the associated group record. You don't need to enter the file extension (i.e. .png, .gif, .jpg).
- The web-formatted images should be placed in your wconnect\ace\images\ subfolder on the ACEweb server.

Enter the group description in the Detail field. You can use html coding to format your descriptions.

Report of the Month: Code Analyzer
|
Sometimes you just want a count of registrants based on a single criterion, which is easy enough to report on in Student Manager. But every now and then, you might want a count of registrants based on a single criterion plus a breakdown by other criteria. Does that mean you have to run multiple reports? Of course not!
In the Deadbeat reporting area, you’ll find an additional report titled Code Analyzer. This report uses a function called CODERPT to return a list of codes based on the value of a demographic field. And just to sweeten the deal, you can use multiple CODERPT functions within the report in order to break down your data even further. Our example shows counts of interest, occupation, and organization codes based on zip code. We also made sure to include explanations so that you can copy the report and modify it to suit your needs (see image below).
Having the capability to break data down like this is incredibly helpful for identifying and marketing to your key populations. For example, you might find that the majority of people interested in art classes reside in two zip codes—which means that you can focus your art-specific mailings in those places.
But the fun doesn’t stop there. With so much demographic data available in Student Manager, the breakdown possibilities are practically endless!
