Changing How Track Changes Display

 

The tracked changes in a document are displayed using the formatting configuration of each individual's machine.  If a document is opened on another user's machine, the tracked changes are formatted according to that user's settings.  This makes it difficult to visually distinguish each author's changes. When collaborating, make it easier for everyone involved by having the same formatting set up.

 

To change the formatting of tracked changes, use the Track Changes Options dialog box.  

 

To view the Track Changes Options dialog box:

  1. In Word 2010 go to the Review tab
  2. In the Tracking Group click the down arrow on the Track Changes button and select Change Tracking Options
  3. Select the way Track Changes should display on your machine. Make the Track Changes Options dialog box easier to get to by creating a  keyboard shortcut:
  1. Go to the File tab
  2. Select Options to open the Word Options dialog box
  3. Select Customize Ribbon
  4. In the bottom left next to Keyboard shortcuts: select Customize to open the Customize Keyboard dialog box
  5. In the Categories list box, select All Commands
  6. In the Commands list box, select ToolsOptionsRevisions
  7. In the Press new shortcut key text box type [Alt]+O (or any keyboard short cut you want). The "Currently assigned to:" should say [unassigned]. If not, then choose another keyboard shortcut combination.
  8. Click the Assign button
  9. Click Close
  10. Click OK in the Word Options dialog box
