Renewal Opening February 1st

CRPO registrants are required to renew their registration annually. Registration renewal for the upcoming 2024-2025 registration year will open on February 1, 2024, and closes March 31, 2024, at 11:59 p.m. ET. 


Beginning February 1st, registrants can go to the “Renewal” page of their user accounts to complete the renewal form and pay their annual renewal fee. You can read more about the process on the Renewal page of the website

Practice Standard Highlight:

Language of Records and Access to Joint Records  

In each Communique for 2024, we will highlight aspects of the revised Professional Practice Standards, which came into effect on January 1. This month focuses on some updated commentary regarding clinical records.


Language of Records  

Previously, the standards expected records to be maintained in English or French. In response to feedback and the diversity of Ontario, the commentary to Standard 5.1: Clinical Records, now recognizes that progress notes may be recorded in the language in which therapy is taking place. The standard expects that key information, which includes the client profile and anything else, such as a summary, that needs to be readily accessible to other healthcare providers in an emergency, be in English or French.


Access to Joint Therapy Records  

Standard 5.1 now contains commentary on providing access to joint therapy records, such as for couple, family, or group therapy. Clients may access the entire record if all participants consent or submit a joint request (e.g., both members of a couple request access to the couple therapy record). If only one participant requests access to a joint record, and the others have not consented, they are only entitled to the information about themselves, and any communal information (e.g., general themes) that is not attributable specifically to another participant. 

Confidentiality Issues When a Client is Deceased

It is a fundamental responsibility of registrants to maintain client confidentiality at all times, including when requests are made for client information by third parties such as lawyers or insurance companies. In compliance with the Personal Health Information Protection Act, 2004 (PHIPA), registrants must ensure the professional relationship with the client and the client’s personal information are kept confidential, within legal limitations.

2023 PD Cycle Update

Were you registered in an odd year? Ensure you have completed a self-assessment and an attestation form. Please log in to your CRPO account as soon as possible to complete your requirements and avoid being considered non-compliant.  


As part of CRPO’s Quality Assurance Program, registrants are required to complete professional development (PD) activities every two years during their PD reporting cycle.


The 2023 PD reporting cycle ended on December 31, 2023. Registrants who were initially registered with CRPO in an odd year (i.e., 2015, 2017, 2019, and 2021) were required to complete at least one self-assessment during the reporting cycle and submit an attestation by December 31, 2023. Thank you to all registrants who completed their QA reporting requirements on time. 

 

Here are the 2023 PD reporting cycle results*: 



  • 5798 registrants were notified that they were required to complete an attestation by December 31, 2023. 
  • 4408 registrants submitted an attestation (approx. 76%) 
  • 4343 registrants reported that they completed their PD requirements as required  
  • 65 registrants reported that they did not complete their PD requirements as required and requested a deferral or extension 
  • 1383 registrants have not submitted an attestation and are overdue (approx. 24%)
  • 7 registrants changed their registration category and are no longer being monitored

All odd-year registrants started a new PD cycle on January 1, 2024 and will be reporting their QA requirements by December 31, 2025. All even-year registrants are currently in the middle of a reporting cycle period and will be reporting their QA requirements at the end of this calendar year.

Registrants are expected to participate in professional development activities and maintain a professional portfolio throughout their cycle. CRPO has PD templates that can be downloaded to track learning activities: https://www.crpo.ca/pdtemplates/. The professional development portfolio should be maintained in a registrant’s own records for 4 years (i.e., two PD cycles) and does not need to be submitted to the College unless requested.
