EXECUTIVE BOARD School Year 2024-2025



Dear FSSA Families:


The Frank Sinatra School of the Arts High School (Q501) Nominating Committee is accepting nominations for the 2024-2025 PTA Executive Board. We are looking for dedicated Executive Board members to help support our school community and advocate for our families. The Executive Board meets at least once a month to plan for the year. Our PTA’s general membership meetings are also monthly.  


Please note: we are especially in need of people to run for the VP of Fundraising, VP of Hospitality, and Treasurer positions. 


The positions are as follows and can be “Co.”   


The President is a member of the PTA Executive Board responsible for presiding at all meetings of the PTA. The President is an ex-officio member of all committees except the nominating committee; s/he appoints PTA committee chairpersons with the approval of the Executive Board, encourages meaningful participation in all parent and school activities, provides opportunities for members’ leadership development, delegates responsibilities to members of the PTA as needed, attends all regular meetings of the Presidents’ Council, is a mandatory member of the School Leadership Team (SLT), meets regularly with the Executive Board members, plans the agendas for general membership meetings, is one of the eligible signatories on checks and debit card disbursement forms, may be responsible for the DOE issued email account, and assists with the June transfer of PTA records, including all pertinent user IDs and passwords, to the incoming Executive Board.


The Recording Secretary is a member of the PTA Executive Board responsible for recording the minutes at all PTA meetings preparing notices, agendas, sign-in sheets, and materials for distribution, preparing and reading the minutes at PTA meetings, distributing copies of the minutes for review and approval by the general membership, maintaining custody of the PTA’s records, maintains the DOE issued email account, may be one of the eligible signatories on checks and disbursement forms, incorporates all amendments into the bylaws, ensures that signed copies of the bylaws with the latest amendments are on file in the principal’s office, may be responsible for reviewing, maintaining and responding to all correspondence addressed to the PTA, and assists with the June transfer of PTA records including all pertinent user IDs and passwords to the incoming Executive Board. 



The Treasurer is a member of the PTA Executive Board responsible for all financial affairs and funds of the PTA. S/he maintains an updated record of all income and expenditures on school premises, may be a signatory on checks and disbursement forms, may be responsible for setting up online access to the bank account, must adhere to and implement all financial procedures established by the PTA, will prepare and present a written report of all transactions at every Executive Board and general membership meeting (which includes income, refunds, reimbursements and other expenditures, and opening and closing balances for the reporting period. S/he will prepare the PTA’s interim and annual financial reports, make available all financial records for viewing by members upon request and for audit, may have access to the DOE issued email account, and will assist with the June transfer of PTA records, including all pertinent user IDs and passwords to the incoming Executive Board.  The Treasurer will use QuickBooks software.


The Vice President of Fundraising is a member of the PTA Executive Board responsible for leading and coordinating all fundraising efforts and events to support the PTA's goals and initiatives. The VP works closely with the President and other Executive Board members to raise funds as well as seeking donations and granting opportunities to support the PTA's programs and activities. 


The Vice President of Sales is a member of the PTA Executive Board who works closely with the President and the school's vendor(s) to sell goods and oversee the design, production, and sales of school-themed merchandise to promote school spirit and raise funds for the PTA. This role involves managing inventory and coordinating sales at school performances and events.  


The Vice President of Hospitality is a member of the PTA Executive Board responsible for planning and coordinating events and activities that promote a welcoming and inclusive school community, such as teacher appreciation events, backstage meals, and other PTA events. This role involves organizing logistics and working closely with volunteers to create a supportive atmosphere for the entire community.


The Corresponding Secretary is a member of the PTA Executive Board responsible for writing the weekly PTA Newsletter (Frankly, it's Friday) as well as handling all official correspondence including responding to emails, letters, and other communications. As needed, the Corresponding Secretary will maintain and update the PTA page on the FSSA website. 


The Studio Liaison is a member of the PTA Executive Board who serves as a bridge between the PTA and FSSA's five studios, facilitating communication, support, and resources for students, parents, and staff. 


The Volunteer Coordinator is a member of the PTA Executive Board who is responsible for recruiting, organizing, and managing volunteers to support various PTA events, activities, and programs throughout the year through sign-ups, emails, and other communication channels. The Volunteer Coordinator works closely with the VP(s) of Fundraising and Hospitality as well as with the Studio Liaison, to ensure a welcoming and efficient volunteer experience. 


The election of the officers of the 2024-2025 PTA Executive Board will be held on Thursday, June 13, 2024 at 7pm via Zoom. Nominations will close on Friday, June 7, 2024 at 5:00pm. If you are interested in running for one of the available positions, please fill out this Declaration of Candidacy Form before nominations close on June 7, 2024.  


All candidates must attend the PTA Zoom Meeting on Thursday, June 13, 2024.
