Spring Survey Season

4/1 - 15 - Employee Engagement Survey Opens

The CCMC employee list will be pulled on Monday, March 25. Any team members starting after this date are welcome to participate in their 90-day onboarding survey as well as the fall Employee Engagement Survey.


4/1- 15 - Client Survey Opens

Action required: update board contacts in VMS

Before the client survey launches, we run a VMS report that downloads board member contact information for all CCMC communities. We continue to see issues with inaccurate and incomplete data in this report. It's extremely important that your board members and their emails are current in the VMS web group so our clients can provide their feedback to CCMC. In addition to the client survey, this contact list is also used for client communications that come directly from CCMC and Board training invitations.

 

Please review and update your board contact information in VMS by 5 p.m. on Monday, March 18. For instructions on the required naming standards and creating a web group, please review the VMS Owner Accounts Cleanup document on SharePoint. To navigate to this document from the SharePoint homepage, click on the CCMC Systems button and then the VMS button. The document is linked below the VMS How to Guides section.

Customer Service - How To Make a Payment Video Series

The customer service team receives thousands of phone calls weekly from residents, and the most common questions are about the assessment payment process. The team has added six quick videos to the CCMC website to help explain the process. Please feel free to use them to help support your residents.

Important Invoice Reminders

Our Accounts Payable team currently has over 550 invoices in the rejected queue because the invoice was missing the community name.


What does this mean for you?

  • If your invoices are not submitted correctly, they will be rejected, and your vendors will not be paid.


What can you do to resolve this issue?

  • Work with your vendors to ensure the full community name that matches the VMS record is listed in the “bill to” portion of the invoice.
  • If your vendors are submitting directly to invoices@ccmcnet.com, have them CC you on the email so you can double check that the invoices are correct.
  • NOTE: Do not resubmit the invoice if you are copied on it. Doing so will create a duplicate invoice in the system, which will be rejected and cost CCMC money (CCMC pays per invoice imaged).
  • Ensure all invoices are submitted as PDF attachments.

Updated 2024 W-9 Form

The IRS has released an updated version of the W-9 form. If you are setting up any vendors, make sure they are using the new 2024 W-9.


The new W-9 can be found on SharePoint on the Vendor Solutions page.

Designate your 401(k) Beneficiary Information with John Hancock

If you have not done so already, make sure you log in to your John Hancock account online and update your beneficiary information for your 401(k) account.


Please note: Previous beneficiary information set up in your Principal account did not transfer into the John Hancock account, it must be entered online with John Hancock.

Coming Soon: Dependent Care Audit

If you have a dependent (spouse, domestic partner, or child) enrolled in a CCMC medical, dental, or vision plan, you will soon be receiving a mailing containing important information regarding dependent verification. This mailing will be distributed around March 27 and will ask you to provide documentation to prove dependent eligibility.

Microsoft 365 Office Suite Product Downloads

Did you know that, as a CCMC employee, you’re entitled to 5 Microsoft 365 Office Suite product installations? These products can be installed on additional workstations, to eliminate the need to use VPN or Remote Desktop to access email. They can also be installed on mobile and even personal devices.


To install, visit Office.com and select the “Install” button at the top right. That’s it! Follow the instructions, and you’ll have Word, Excel, PowerPoint, Outlook, and even OneDrive running quickly. More detailed instructions can be found on the Microsoft support site.
